Support Files and Templates on Server

We keep our support files and templates and what not on the server.  That way they are backed up and everybody is working from the exact same files and if anything is changed / added / deleted / tweaked / adjusted, etc the change happens 1 place 1 time and everybody is still working of the exact same version.

All along everybody has been on desktops.  We recently replaced a couple with Laptops.  When at the office working off the server is not an issue.  If somebody goes off site or home, they can't access the server. 

How do you all handle this?  Do you put a copy on the local hard drive?  Is there a way to get that local version to go out every so often and automagically sync / copy-replace the one from the server to be sure all are still identical.

We have a similar setup but utilize a VPN to allow the outside to connect, similar to if they were in the office. The only issue is transferring large files as it takes quite a bit longer on WAN vs LAN.

If you can be connected via VPN, you can utilize remote desktop and bypass having to down/upload.

VPN access would not be all the time.

It seems from your question that these files do not get updated too often and if someone does not have the latest version it is not the end of world but an easy way to update every so often.


One way is to get a usb stick and while at home map the the usb stick to same letter as server so you can keep all the file path references.

Correct, they do not get updated very often so the USB or manually updating them is an option.  Was just thinking somebody had come up with a way to sync them.

Theoretically setting up a DropBox account with a custom directory would solve this as well.

I like dgorsman's method. It works great to maintain a local copy of the standards. There is one thing to keep in mind. Any changes made to the files while offline will be uploaded once you connect back to the server. If someone else has also made changes to the files on the server or their own offline copy, the last one to sync wins.

One solution to this is to limit write access to the server location.
